Bill Cassarly has been VP of Operations at Regenerative Biologics since 2018. He leads the organization’s birth tissue and cadaveric donation programs, overseeing operations, budgeting, partner relationships, and internal project coordination across multiple teams.
The Challenge: Complexity Across Departments
Cassarly oversees two distinct donation programs — birth tissue and cadaveric — and each comes with its own teams, workflows and challenges. "These programs don’t have much overlap," says Cassarly. "It's a lot of activity to manage."
As RBI rapidly expanded, staying organized became a top priority. "I needed something to keep myself and my staff on track, so I started looking at all kinds of planners and agendas," he recalls. After trying a different platform with poor customer support, Cassarly started searching again — and discovered Decisions.
The Solution: Structured Meeting Management
Cassarly was first drawn to Decisions by the no-strings-attached free trial, which gave him space to explore the platform before committing. With steady encouragement from Cassarly — and support from his Decisions Customer Success Manager — adoption across RBI grew. "Most of our leadership and middle management now use it consistently for biweekly meetings," Cassarly says.
AI Meeting Recaps Drive Adoption
One breakthrough moment came with the introduction of AI-powered meeting recaps. "Our executives love getting a recap a few minutes after the meeting," explains Cassarly. "They want to see their stuff in the recap, so they started putting more and more notes into the log."
AI recaps even drove interest from team members who typically preferred taking notes on paper. Cassarly recalls a colleague asking him, "Hey, can we set up an hour for you to show me how to do recaps for all my meetings?"
Beyond engagement, the recaps have boosted accountability. "There’s no more 'I don’t remember saying that.' It's kind of written in stone," says Cassarly lightheartedly. "And I've had people call me after reading the recap, wanting to go over a topic they didn't remember."

The Impact: Participation & Productivity
The cultural shift has been significant — Cassarly estimates that team participation and productivity have increased by 80%.
For example, in one of Cassarly's weekly leadership meetings, participants regularly contribute topics to the live agenda and refer back to the decision log. "They're the ones that said, 'I will do this, I will do that,'" Cassarly explains. "There's no backing out," he adds with a laugh, noting that the written record keeps everyone honest in the best way.
Looking Ahead
Cassarly notes that more RBI team members continue to see the value of using Decisions for meetings. And with rising interest in AI recaps, he expects to add more AI licenses soon. "I foresee only growth with us," he concludes. "We’ll be around for a while."
