Coop is a large grocer with 28,000 employees across 71 cooperatives in Norway that collectively own and operate a central organization called Coop Norway SA. As a cooperative, it is legally obligated to have general assemblies with its nearly 100 delegates, and they faced the daunting task of transitioning their General Assembly to a virtual meeting for the first time in the organization’s history.
Coop Norway SA rolled out Microsoft Office 365 and Microsoft Teams well head of the pandemic, positioning it to react quickly to a virtual work environment. When determining how to address the specific needs of the General Assembly, it looked to the Teams third-party app, Decisions. Available in the Teams app store, Decisions provides a solution for creating and collaborating on agendas, running meetings, and tracking meeting outcomes easily.
“We were initially introduced to Decisions CEO Jørgen Solberg in late-March,” says Frode Ander, Coop Senior Technology Advisor. “Within days, we were able to set up the solution and prepare for the General Assembly, which was only weeks away.”
Decisions for Microsoft Teams offers a structured agenda, professional meeting minutes templates, and automated task and decision follow-up. Within days of the global shutdown, Decisions also built a speaker list and more secure voting for Microsoft Teams meetings. These two features were especially critical to Coop.
“General Assemblies are very formal meetings that last four to six hours,” continues Ander. “It is crucially important that we follow our processes to the letter and that we maintain all formal steps necessary for operational control.”
