Leeds Federated is a not-for-profit housing association in the UK, focused on providing quality housing and support services. As Head of IT, Lukas Bisek is responsible for identifying and implementing tools that improve operations across the organization. One of those tools is Decisions.

The Challenge: Bringing Structure to Leadership Meetings

Prior to adopting Decisions, Leeds Federated’s leadership meetings — often full-day events with extensive supporting documents — followed a more manual and decentralized process.

Agendas were created in Word and documents were stored across SharePoint or shared drives. As Bisek puts it, "The systems we used didn't make it easy to be organized."

"It was very time-consuming and labor-intensive," he recalls. "We couldn't just flow through the meeting, which is what happens now."

The shift to more online meetings only amplified the need for a centralized, structured solution.

Decisions has transformed the way Leeds Federated runs its meetings, especially at the leadership level. Agendas are created well in advance and include clear time estimates and built-in breaks for day-long sessions.

The organization tracks tasks and decisions directly in the Decisions agenda, ensuring nothing gets lost post-meeting. "We record final decisions as we go, and we can easily find what we decided a year ago," says Bisek.

Meetings now start with a review of the agenda and often include adjustments to manage time more effectively. That awareness — powered by real-time agenda tracking — has led to more focused, on-time meetings.

"It just helps us stay on track — items get covered, tasks get identified, decisions get made," Bisek explains. "We're talking about meetings that run 5+ hours with 30 agenda items, and we usually finish on time."

Bisek sees Decisions as a steady, reliable tool — not something that needs constant reinvention. "It's one of those products that does what it's supposed to do. We don’t need more functionality, but it’s great that new features roll in naturally because it’s cloud-based."
